Administration describes any non-profit making activity that a business performs regularly in order to be successful. It can mean dealing with payroll, ordering stock, maintaining a database of clients and lots of other things. In most offices, Microsoft Excel is the software on which businesses store their data. One of the main reasons that admin requires your input is because you can spot errors in existing data e.g. whether "John Smith" is in fact the same person as "Jon Smith". Data is often aggregated for management purposes but, unless you can group data reliably, the whole exercise is a waste of time.

It's a classic case of "garbage in, garbage out". Therefore the best way to reduce your administrative burden may be to prevent the garbage getting created in the first place. If you have a regular set of clients, why should a secretary be required to type their full name into a spreadsheet each and every time they call? It would be much better if they could select names from a dropdown list.
