Inserting Horizontal Page Breaks in Excel

The video shows how to insert horizontal page breaks in Excel and review all page breaks added to the current worksheet. If you are breaking up a table of data then you may wish to repeat the headers on every page which can be achieved by using the Print Titles button in the Page Setup section of the Page Layout ribbon.

Whereas in Word our experts would recommend adding page breaks as you go along, in Excel it's quite different. You would generally prepare a spreadsheet in what Microsoft calls Normal view where you can work with an almost infinite grid of cells with minimal distraction. When you prepare the file for printing, you may need to change some column widths, wrap some text, reduce the margins or shrink the fonts so as to avoid any awkward vertical splits in the output.

It is only after you have found a good compromise that you can see how many rows will fit on each page of your output, and only then that it is worth spending time adding page breaks. You can also start to work purely within Page Break Preview

Within Page Break Preview, there is an alternative method for adding horizontal page breaks. You can locate any existing page breaks including the dotted lines that show the default automatic breaks with the cursor. The cursor will display an up or down arrow, letting you drag and drop the page break to manually install it where required.
